The Process for Reviewing and Approving Surveys

Every survey on Pollfish goes through a review process before it’s launched to real people. This guide will walk you through the process and what goes on before your survey is up and running.

Submitting Your Survey for Review

Once you've finished setting up your survey and you’re ready to go, you can proceed to “Checkout” and click “Submit for approval.” This will trigger the review process.

From this point on, our team will lock your survey and start the review process — that means you can’t make any changes unless you reach out to our CS team through chat or email at pollfish-cs@prodege.com.

⇒What the Review Team Looks For

The Pollfish review team checks your survey to make sure:

  • The questions make sense and are clear
  • Long or unclear question prompts
  • Using single selection instead of multiple or vice versa
  • Sensitive topics
  • Incorrect conjoint or Van Westendorp setup
  • Combined multiple open-ended questions into one or too many open-ended questions
  • Survey logic (like skip patterns) is working properly
  • You’re following the platform rules and terms

These are just indicative examples. The team will leave comments if anything needs your attention.

⇒Two Types of Comments You Might See

Mandatory comments – You have to fix these, or your survey won’t go live.

Optional comments – These are suggestions to improve your survey, but you don’t have to follow them.

If you get at least one type of comment, your survey goes back into draft mode(if your survey has at least one Mandatory comment) or “Approved” status(for optional comments that are not accompanied by mandatory ones). You’ll need to make changes (for mandatory comments) or at least acknowledge the optional ones by clicking “OK, got it” before you can resubmit.

⇒What Happens After You Make Edits

Once you’ve taken care of the mandatory comments, you should proceed to checkout (note that your initial payment won’t go through since the survey didn’t go live) and resubmit your survey. The review team will take another look.

If everything checks out, your survey gets approved and can either go live immediately or on the date you scheduled. If you need to make changes while your survey is locked, just contact the CS team, and they’ll help out.

⇒Launching a Survey with Optional Comments

If the only feedback you get is optional, you’ve got two choices:

  1. Launch the survey as-is (just click the three dots next to your survey in the "Approved" tab and select “Launch now.”)
  2. Make the suggested edits and go through the review process again (click the three dots and choose “Edit.”)

⇒Rejected Surveys: Why It Happens

Surveys can be rejected if there are major issues, such as:

  • Breaking Pollfish’s rules
  • Questions that don’t match the target audience
  • Asking for personal or contact information
  • Inserting links into survey questions

You’ll get an email with the reason for the rejection and what you need to fix. If you’re unsure about any of these, you can always chat with the support team before submitting.

⇒Emails You’ll Receive

Emails keep you in the loop during the review process. Here’s what you might get:

  • Submission confirmation – Just a heads-up that your survey was submitted.
  • Action required – You’ve got mandatory or optional comments to address.
    • Mandatory comment emails will say: "ACTION REQUIRED: Please edit your survey..."
    • Optional-only comment emails will say: "Our survey review team has recommendations only."

Always read these carefully — they’ll tell you exactly what needs to be done.

⇒Running More Than One Survey?

If you’ve got multiple surveys but want different people to take each one (so there’s no overlap), reach out before submitting. The team can group them on the backend so you get unique respondents.

⇒Using Scheduled Surveys

If your survey is set to launch at a future date, it still needs to be reviewed and approved first. If there are any comments, you must address them before the scheduled launch. If not, your survey won’t go live.

  • If something is flagged as a mandatory fix but you think it shouldn’t be, reach out to the CS team.
  • Don’t rush through optional comments. They can really improve your results.
  • Always double-check your logic and targeting before you hit submit.
